The Administrative Assistant plays a key role in multiple aspects of managing and maintaining our office environment including, but not limited to, supplies, light bookkeeping duties, programs production assistance, and sales and marketing support. This position will work closely with the Managing Director and Creative + Marketing Director to assist in overall business needs, marketing and social media assistance, as well as general support to the company President.

Job Responsibilities (included but not limited to the following):

  • Maintain and organize ordering schedule of all office supplies
  • Answer phones and maintain general office voice mail
  • Work closely with Managing Director, President and Controller on entering in items into QuickBooks
  • Assist sales in outbound efforts by preparing calls, client gifts, and scheduling appointments as necessary
  • Attend networking events as necessary
  • Assist with marketing duties such as organizing client gifts, social media postings, other tasks as assigned
  • Check the mail on a daily basis
  • Assist managers with close out by following up on outstanding payments
  • Process events in events calendar once they are closed out
  • Maintain AR and AP to ensure we are receiving payments and paying vendors in a timely manner
  • Assist as on site for event execution as necessary
  • Other duties as assigned by supervisor or executive team members

Job Requirements:

  • Strong work ethic
  • Understanding of and passion for the pace of the events industry
  • Must be a team player and willing to assist as needed to keep DSME moving forward
  • Exemplary verbal and written communication skills
  • Must be service oriented in order to provide our customers with the best service and care
  • Flexible in schedule allowing for attendance at programs which occur outside of standard business hours
  • Self starter who is proactive and motivated and can work independently but follows direction
  • Ability to work well in a fact paced environment while maintaining attention to detail and timely follow up with all internal as well as external communication
  • Pays attention to detail and maintains organization of work in files as well as work space

Education + Qualifications:

  • A minimum of 2 – 3 years in a business environment
  • Excellent Customer Service Skills
  • Experience working in accounting a plus
  • Knowledge of Microsoft Office Suite of products
